Assistant Manager - Operations and Projects
Position Summary
The Assistant Manager - Operations and Projects is responsible for overseeing the daily operations of the Center, ensuring smooth functioning in areas such as IT, logistics, maintenance, and housekeeping. This role involves managing and coordinating with various team members, and ensuring that the Center’s activities are supported efficiently. The role also includes managing HR functions, supporting program-related initiatives, and in-person events, and handling special projects as assigned.
Key Responsibilities
Operations
- Manage and oversee the Center’s operations activities, including IT, logistics, maintenance, and housekeeping oversight and scheduling.
- Execute operational strategies, policies, and initiatives in collaboration with the Operations team at Columbia Global in New York.
- Ensure the smooth operation of the Center’s logistical functions including but not limited to vendor management, office ordering process, inventory of Center assets, and transport scheduling.
- Oversee all maintenance work related to the Center’s facilities and assets, and manage housekeeping operations.
Project and Event Operations Management
- Plan and implement special projects and programs in coordination with the Programs team.
- Manage the execution of the Center’s in-person events, including budget preparation, visa application submission, travel and accommodation arrangements, and venue setup.
- Provide support to Columbia University students, affiliates, and stakeholders during their stay in Jordan.
- Work with the Center’s Programs team and Columbia University affiliates to coordinate and facilitate research projects conducted in Jordan, including obtaining necessary government approvals and liaising with local entities.
Human Resources
- With oversight by the Executive Manager, support the completion of various HR-related actions including legal labor matters, internal regulations and policy development, and employee relations issues.
- Manage the Center’s records, including employee files, correspondence, contracts, and other documents, ensuring proper filing and referencing.
- Oversee the onboarding and offboarding processes for new employees, visiting scholars, and interns.
- Handle the issuance and renewal of foreign staff residencies and work permits.
- Coordinate candidate interviews and selection processes, ensuring alignment with standard operating procedures.
- Utilize the Executive Manager and the Columbia Global HR team in NY as resources for successful completion of HR actions.
Administrative and Legal Support
- Prepare contracts and service agreements, and coordinate with the Center’s legal counsel on all legal matters and inquiries.
- Identify and engage existing and potential vendors, technology platforms, and consultants to maintain or improve the Center’s operational efficiency.
Minimum Qualifications
- Bachelor’s degree in a relevant field
- 3+ years of professional experience in operations management, program management, event coordination, or a related area.
- Fluency in English and Arabic
Competencies and Skills
- Experience in managing teams and overseeing multiple functional areas.
- Proficiency in budgeting, and an understanding of IT, HR functions, and ability to handle and support the resolution of any legal matters.
- Detail-oriented with excellent organizational and multitasking capabilities.
- Ability to execute, and oversee project logistics from start to finish.
- Strong writing and verbal communication skills in English and Arabic; ability to professionally interact with internal and external stakeholders.
- A team player with the ability to work independently and take initiative.
- An understanding and appreciation for cultural nuances.
- Ability to navigate the complexities of an international organization while staying aligned with local objectives and sensibilities.
